Summary and Essential Duties

Provides administrative support for the office and relieves management of clerical work and minor administrative and business detail by performing the following duties.

Essential Duties:

  • Greets visitors and notifies personnel when appointments have arrived; Manage any visitor requirements including necessary signed paperwork for visitors or name tags/badges
  • Answer, screen and route calls; Provide information to callers as required
  • Assist with scheduled business meetings including meeting arrangements scheduling, lunches, equipment, and clean-up
  • Assist with ordering office supplies including printer cartridges, paper, shipping supplies, stationery, business cards
  • Reporting facilitate, compilation of data, formatting and/or distribution of reporting to internal/external customers as needed
  • Enters data for processing and/or monitoring of customer orders as assigned
  • Composes and types routine correspondence
  • Organizes and maintains file system, and files correspondence and other records
  • Answers and screens manager's telephone calls, and arranges conference calls
  • Makes appointments
  • Conducts research, and compiles and types statistical reports
  • Makes copies of correspondence or other printed materials
  • Code and pay all invoices excluding feed invoices
  • Maintain payroll including, collect timesheets, enter payroll hours into system, track vacation, sick days and absences; Process paperwork and checks for advances and other payroll issues not done by payroll processing company
  • Assist with Daily Herd Improvement Association administrative duties; This includes syncing pocket PCs, entering data, printing reports, clearing info from RFID wands, organizing and transferring work between office and offsite
  • Oversee that I-9s are done correctly
  • Handle employee relations issues excluding insurance/disability benefits
  • Special projects as needed
  • Liaison between IS and all computer and technical issues
  • Maintain company cell phones and take care of repairs and exchanges
  • Other duties may be assigned.


  • High School Diploma or GED (General Education Degree) and 1+ years of related experience; Bachelor's degree (B.A.) from four-year college or university preferred; or equivalent combination of education and/or experience
  • Highly proficient in with MS Office Suite and standard office hardware/10 key by touch
  • Excellent Customer Service skills and the ability to respond to difficult or emotional customer situations promptly and with composure
  • Must have excellent written and verbal communication skills and the ability to respond professionally to internal and external customers while maintaining a positive demeanor
  • Must have a high level of attention to detail and the ability to prioritize workload, multi task and problem solve with a high level of commitment and dependability to meet tight deadlines
  • Must be able to work well in a fast paced, high pressure environment, and have the ability to switch gears seamlessly
  • Bi-lingual in English/Spanish a plus
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; Ability to write reports, business correspondence, and procedure manuals;
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry;
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Must be willing and flexible to work the demands of the department which are subject to early or late hours, evenings, weekends and holidays
