  • Summary & Responsibilities

    The Contract Administration Supervisor is responsible for the administration of contract pricing and other contract requirements for major customers. This position is responsible for training and supervision of a team of Contract Pricing Analysts and/or Senior Contract Pricing Analysts.


    • Supervise the administration of all pricing, order guide, custom invoice and reporting requirements for all customers assigned to the team in an accurate manner, adhering to firm deadlines to drive customer satisfaction. Requirements will vary for each customer and will require extensive knowledge of the company’s pricing policies and practices
    • Coach and monitor team in the analysis, interpretation and implementation of customer/vendor pricing contracts timely to ensure accurate pricing to customers and supportable bill backs to vendors
    • Monitor the calculation of customer incentive rebates in accordance with the customer agreement; measured by accuracy and timeliness of team’s output
    • Support customer pricing audits/reviews with intimate knowledge of the customer’s and Shamrock’s obligations under the terms and conditions of the contract; measured by the team’s documented audits/reviews
    • Coordinate with team all new customer set up requirements regarding pricing structure, order guides, custom invoice, reporting and accruals for rebates and incentives
    • Maximize margin on team’s customers by proactively using reporting (Negative Gross Profit Report, Customer Profitability Report, Duplicate bill backs) to identify pricing issues and ensure corrective actions are implemented by the team in a timely manner; measured by the team’s customer gross profit
    • Monitor Analysts’ effective use of the Expiring Products Report to ensure continuity of contract pricing; measured by the team’s retro bill-backs
    • Monitor Analysts’ performance of self-audits of pricing to minimize errors; measured by the team’s number/amount of pricing credits/debits and audit pay backs
    • Ensure the team responds to requests from Sales team and other internal customers to review/correct pricing concerns in a timely manner, measured by resolution rate of the team
    • Personally address escalated pricing concerns from both external and internal customers to increase confidence in and satisfaction with centralized Contract Administration; provide regular reporting and status on open issues and actions in progress
    • Develop training and process documentation, ensuring concepts as well as procedures are understood; measured by the completion of training and process documentation
    • Drive process improvement initiatives, utilizing experience to suggest means for improving operational efficiency and effectiveness
    • Work closely with Division Purchasing on contract pricing requirements, i.e. PO cost, freight, and bracket buys to ensure customer receives correct pricing
    • Manage within budgeted headcount to leverage expense base
    • Implement key performance indicators (KPI’s) to monitor team’s performance and hold Analyst’s accountable to established goals
    • Complete other duties as assigned in an accurate and timely manner


    • Bachelor's degree AND 5 years of relevant experience; with 2 years of leadership responsibilities
    • Microsoft Office proficiency: Outlook, Excel, Word, PowerPoint, required
    • Self-motivated, positive attitude and flexibility
    • Ability to manage workload utilizing various computer platforms/software applications
    • Strong attention to detail and organizational skills to manage input from multiple workflows
